Privacy policy
What we collect, why, where it goes, and how to have it deleted. Short version: only what you give us, never sold, no ad pixels.
Who we are
Root Wellness Lab (rootwellnesslab.com) is run by JT Root, a NASM Certified Nutrition Coach. In this policy, “we” means JT Root and Root Wellness Lab. Mailing address: Root Wellness Lab, PO Box 853, Hood River, OR 97031.
Questions or requests: jt@rootwellnesslab.com.
What we collect
We collect only what you choose to give us, plus basic technical data that any website receives.
- Newsletter and free guide: your email address and the time you signed up.
- Coaching request form: your name, email, optional phone number, time zone, the state you’ll be located in, the session you want, your goals, the trackers you use, your eating pattern, caffeine and sleep habits, your availability, how you found JT, and yes/no answers to a short health check. Some of these are consumer health data. Our Consumer Health Data Privacy Policy explains how we handle them.
- GLP-1 coaching application: your name, email, the state you’ll be located in, where you are with a GLP-1 medication and whether you have a prescriber, yes/no answers to a short fit and symptom check, what you want help with, whether you strength train, the package you’re leaning toward, how you found JT, and the campaign tags in the link you arrived from (UTM tags such as the ad or post name), if any. The health answers are consumer health data and are emailed to JT, not stored on the website.
- Call scheduling: when you pick a time for a call, our scheduling tool, Cal.com, receives your name, email and the time you choose.
- Ads on Facebook and Instagram: if you request the free guide through a form inside Facebook or Instagram, Meta collects your email under its own privacy policy and passes it to us. We don’t place Meta’s tracking pixel on this website.
- Coaching clients: what you share in calls, check-in forms, the shared tracker and emails, and the signed coaching agreement.
- Payments: handled by our payment processor, Stripe. We see your name, email, amount and payment status. We never see or store your full card number.
- Technical data: our web host keeps standard server logs (such as IP address, browser type, pages requested and time). When you use a form, Cloudflare Turnstile runs a spam check that processes signals such as your IP address and browser. The app logos on our home page load from Google’s favicon service, so Google receives the request from your browser.
We don’t use advertising pixels, tracking cookies or analytics on this site today. If we add privacy-friendly, cookieless analytics, we’ll update this page first. We never place ad pixels on any page with a health form.
How we use it
- To send the guide and the newsletter you asked for.
- To reply to your coaching request, set up a call and prepare for it.
- To deliver coaching you’ve paid for, and to keep records we’re required to keep.
- To keep the site and forms secure and free of spam.
We don’t sell your information, and we don’t share it for advertising.
Where it’s stored and who processes it
Form submissions are emailed to JT’s business inbox. The web host keeps a minimal record of each coaching request or application (name, email, state, request type and time, with no health details). It also keeps a list of newsletter signups. Both are stored in a folder that isn’t public. Newsletter subscribers are added to our Substack publication.
Coaching records (check-ins and the shared tracker) are kept in a Zoho Workplace business account with data-processing terms.
The service providers that process data for us are our web host (DreamHost), our business email provider (Zoho Mail), Cloudflare (spam check), Substack (newsletter), Cal.com (call scheduling), Stripe (payments), Cal Video (video calls, provided by Cal.com) and Zoho Workplace (business documents and spreadsheets). Each processes data only to provide its service to us.
Root Wellness Lab is not a HIPAA covered entity (it doesn’t bill health insurance), so HIPAA doesn’t apply to the information you share. It’s protected as described in our privacy policies and by state consumer health privacy laws.
How long we keep it
- Coaching requests that don’t become coaching: deleted within 12 months of our last contact.
- Coaching client records: kept for 3 years after coaching ends, then deleted, unless the law requires longer.
- Payment and billing records: kept as long as tax law requires, generally up to 7 years.
- Newsletter: until you unsubscribe.
Your choices and rights
You can ask to see, correct or delete the information we hold about you, or withdraw any consent you gave, by emailing jt@rootwellnesslab.com. We’ll respond within 45 days. You can unsubscribe from the newsletter from any issue.
Depending on where you live, state law may give you more rights. Washington residents and anyone whose consumer health data we collect in Washington have the rights described in our Consumer Health Data Privacy Policy. We apply those same rights to everyone.
Children
This site and coaching are for adults. We don’t knowingly collect information from anyone under 18.
Changes
If we change this policy, we’ll update the date at the top. If we want to use your information in a new way, we’ll ask first.
